R110901: Converting Bill Formats to RTG Bills Online

Overview

Because of differences between RTG Bills on a PC and RTG Bills Online, bill formats are not automatically converted. However, the available choices are very similar, so it should not be difficult to copy the settings from the PC to RTG Bills Online.

Here we are only discussing standard bill formats, created on a PC by choosing Setup > Bill Formats in RTG Bills. If you have custom bill formats created by Layout on the PC, contact RTG for help.

 

Fonts

On a PC, RTG Bills can use any printer font that is installed in Windows. When you use RTG Bills Online, however, the fonts are installed on the RTG Bills Online server, so you are limited to the fonts that RTG provides there.

On the PC, choose Setup > Fonts. You will see that six fonts are listed in the box on the left.

Now let's look at the corresponding choices in RTG Bills Online. From the Supervisor Menu, click Edit Bill Formats. Choose a bill format and click on it in the list of formats. If you don't have any bill formats yet, click New and then Save to create one. On the Edit a Bill Format page, click the Select Fonts button.

RTG Bills Online also asks you to choose six fonts. Initially, they are all set to Times. The standard font choices on the PC are:

1 - Courier New
2 - Times New Roman
3 - Arial
4 - Times New Roman
5 - Arial
6 - Courier New

Similar fonts in RTG Bills Online would be as follows:

1 - Courier
2 - Times
3 - Helvetica
4 - Times
5 - Helvetica
6 - Courier

If you chose other fonts on the PC, perhaps for use in a letterhead design, you may be able to find a similar font in RTG Bills Online. On the Fonts for Bills page, click the font number in Step 1, choose a new font from the dropdown list in Step 2, then click Apply in Step 3.

The six fonts you choose here are the only ones that you can use in this bill format, which includes the letterhead design. When you have made your selections, click Save to save the results and return to the Edit a Bill Format page.

 

Labels

Labels are the text on the bills that does not come from the transaction descriptions.

On the PC, choose Setup > Bill Formats. Choose a bill format and click Edit to edit it. At the Edit A Bill Format window, click the General Features button and look at the Labels tab.

In RTG Bills Online, click Edit Labels on the Edit a Bill Format page.

Compare the two lists of labels and change the labels in RTG Bills Online to match those in RTG Bills on the PC. The Online labels are numbered and the PC shows the label number when you single-click on a label in the list. When you are done, click Save to return to the Edit a Bill Format page.

 

General Features

Click the Edit General Features button in RTG Bills Online. The General Features for Bills page you now see contains settings that you will find on different tabs of the General Features window of the PC. Copy the settings from the PC to RTG Bills Online.

On the PC, click Cancel to return to the Edit A Bill Format window. Copy the Description from this window to RTG Bills Online. Click Save on the Online page to return to the Edit a Bill Format page.

 

Edit Sections

Click the Edit Sections button on the Edit A Bill Format window on the PC. Click the Edit Sections button on the Edit a Bill Format page in RTG Bills Online.

The choices available in the two programs are very similar. We will address the differences.

Header 1
RTG Bills Online always uses a letterhead design, so the only choice is to print it or not. RTG Bills Online assumes the client name has been made part of the mailing address, so it does not have the Omit Client Name option.

Header 2
RTG Bills Online has an option to print the firm name (but not the address) on subsequent pages of the bill. If selected, the firm name is taken from label number 135, so edit the labels and enter your firm name there.

When you have copied all the settings from the PC to RTG Bills Online, click Save to save them and return to the Edit a Bill Format page. On the PC, click Cancel and then, at the Edit A Bill Format window, click Cancel again.

 

Edit Letterhead

On the PC, there is a single letterhead design for all bill formats. On the Setup: Bill Formats window, choose format 255 Letterhead and click Edit. You will see the Letterhead Design window.

In RTG Bills Online, click the Edit Letterhead button. Here there are three separate pages for editing the settings that appear on the single PC window. Click Edit Text.

On the Design Letterhead: Edit Text page, enter the text that you want in each area of the letterhead. You will note that text in the two center boxes is centered as you enter it and it will be centered on the letterhead. Text in the left-hand box will be left-justified and text in the right-hand box will be right-justified. Click Save to save the text.

Click Choose Fonts. Here you will see a list of the text lines you entered earlier. You can choose the font and the style for each line, just as you see them on the PC. Click Save to save your choices.

Click Choose Graphics. The choices here are similar to the PC. If you want to use a graphic image, choose Image 1 from the dropdown list and click Upload Image to upload it. Note that you must choose the image Width, in inches, rather than a percent zoom. In addition to choosing the Alignment, you can enter both a Left Adjustment and a Top Adjustment to move the image on the page. Click Save when you are done.

To check the letterhead design, click the View Letterhead button. This will create a PDF page that shows the letterhead. You may want to use the PDF viewer in your browser to print the page. Click Done when the letterhead is correct.

From the Edit a Bill Format page, you can click View Sample Bill to create a PDF sample, including the letterhead. You may want to compare this to a sample bill from the PC to verify that the settings are the same.

 

More Bill Formats

If you have more than one bill format, you may want to start out with all the settings of the first format, if the two are similar. To do that, click Save As and enter a new bill format number. You now have two identical bill formats.

However, if the next bill format is very different from the first one, you may want to start fresh. From the Select a Bill Format page, click New to create a new bill format. When you click Save, a new bill format is created with default settings.

Keep in mind that RTG Bills Online can store a different letterhead design for every bill format. However, if you want the same design as before, use the Copy Letterhead button to copy the letterhead design from the previous bill format.
