R151005: Print Historical Bills - V2.27+

Problem

RTG Bills can reprint any bill that it has created. It is able to do this because it saves coded instructions for reprinting the bills. Normally, to reprint an old bill, you would choose:

Bills > Historical Bills

Given the Bill Date, RTG Bills can reprint any or all of the bills that were printed on that date.

There are two situations in which this standard feature might not be sufficient:

  1. RTG Bills cannot reprint a canceled bill. However, the instructions for doing so are available in the coded instructions for that Bill Date.

  2. If your database is corrupted, you might not be able to reprint the bills even though the coded instructions, which are not in the database, are intact.

In either of those situations, the program offered here can help. It prints the bills for a specified Bill Date by reading the coded instructions directly, without reference to the RTG Bills database. It prints all bills for the date, even canceled bills.

 

Requirements

The program offered here is only designed to work with RTG Bills Version 2.27 and above. If you have a lower-numbered version, go here.

 

Solution

You will install a small program that puts all the historical bills for one Bill Date in a single PDF file. You can use the PDF file to view or print the bills.

  1. Start RTG Bills. Right-click the RTG Bills icon and choose Run as administrator. When RTG Bills appears, choose:

    File > Update > Yes > Check The Internet For Updates

  2. Ignore the list of updates. Click the Special button.

  3. On the Special Updates window, find Print Historical Bills and click that item. A checkmark should appear next to it.

  4. Click Install to install this update.

  5. If the update is successful, the program will tell you that one update was applied. Click OK, Close, and Close again.

  6. Start RTG Bills again. Choose File > Tools from the menu. You should see Print Historical Bills in the list of tools. Select it and click OK.

  7. The program should appear, with the title Print Historical Bills. Enter the Bill Date of the bills you wish to print. Click the PDF button.

  8. A message will tell you how many bills were found. It also displays the number of errors, if problems were found in the file. Click OK.

  9. Choose Close to leave the program.

The program creates a PDF file containing the bills. The file is named with the Bill Date in the form YYYYMMDD.pdf. For example, the file 20121008.pdf contains bills for the date 10/08/2012.

The location of the file is shown on the program window after the PDF file is created. It will be in the Oldbills folder, which is inside the Data Location. This is the same location used to store the historical bills information.

The program also creates a log file of the form YYYYMMDD.log in the same location. This files contains a list of the bills found, in this format:

client number|case number|bill number

This file could be used to create an index of bills by importing it into a spreadsheet. First, you would have to edit the log file, using Notepad or a similar text editor, to remove the lines at the top and bottom of the file that are not in this format. Then you could import the file into three columns of a spreadsheet. That would allow you to sort the lines by client number and case number (i.e., matter number) or by bill number. Log files for different dates could all be imported into the same spreadsheet to create a master index.
