You can use Microsoft Word 97 (Word for short) to print the client names and addresses from RTG Bills.
The first step, exporting the client information from RTG Bills, was described here. The second step, adding field names to the file, was described here.
Now we are ready to merge the "data source" with a "main document" to produce mailing labels. Start Word and complete these steps:
- From the Word menu, choose Tools > Mail Merge.... You will see the Mail Merge Helper window.
- Click the Create button and choose Mailing Labels....
Click Active Window.
- Click the Get Data button and choose Open Data Source.
- You will see the Open Data Source window. In the Files of type box, click the down arrow to display the list of choices. Choose Text Files (*.txt) from the list.
- Navigate to the RTG Bills folder. When you see the file Address.txt or Mail.txt, click on it to select it and then click the Open button.
- You will see a message. Click the Set Up Main Document button.
- You will see the Label Options window. Select the labels you want to print. Click OK.
- You will see the Create Labels window. Click the Insert Merge Field button and choose name from the list. This will put <<name>> in the Sample label box.
- Press Enter to move the cursor to the next line, under <<name>>.
- Click the Insert Merge Field button again. This time, choose address from the list. This will put <<address>> in the Sample label box, underneath <<name>>. Click OK.
- You will see the Mail Merge Helper window again. Click the Merge... button.
- You will see the Merge window. Merge to should say New document. Records to be merged should be All. Click the Merge button.
- You should see the labels on the screen. You can save them or print them now.
When you close the document (Labels1), you should see another document (Document1), which is the form (the "main document") that formats the labels. Save the form if you expect to print the same kind of labels again. Use the extension doc, which tells Word that it is a Word document. For example, you might use the filename address.doc.
